Make POPIA part of every prompt
The Information Regulator says POPIA prescribes "the eight (8) conditions for the lawful processing of personal information by or for a responsible party". Those conditions apply to how your business handles personal information, whatever tool it's handled in.
So your rules have to reach the prompt box. We plan every exercise on your AI policy and approved tools, and staff practise getting the task done with client details left out, then checking the answer before it's used. This is general information, not legal advice.
Turn your safeguards into habits
Under Section 19, the Regulator says the responsible party "must secure the integrity and confidentiality of the personal information" by taking reasonable technical and organisational measures. Private and public bodies must also register their Information Officers with the Regulator.
A policy works when staff follow it at their desks. Bring your Information Officer into the planning and we'll turn your rules into practical steps your people rehearse in the session, on the tools they use every day. Every session follows the 10 principles of the Responsible AI Use Campaign, which we've signed.
Know which ChatGPT you're working in
OpenAI's enterprise privacy page, updated in January 2026, says: "By default, we do not use your business data for training our models." It defines business data as inputs and outputs from its business products, including ChatGPT Business and ChatGPT Enterprise.
Staff need to know which account they're in and what your policy allows in each tool, whether that's ChatGPT, Microsoft Copilot or Claude. We cover that first, then they practise on their own reports, emails and proposals and finish the session with drafts done and prompts saved.

No, not by default on ChatGPT Business and Enterprise, according to OpenAI, unless you choose to share data, for example through feedback. We show staff how to check which account they're using before they start.
